SERVICE PROVIDER
The online stores qubitconference.com and qubitacademy.com are operated by QuBit Security s.r.o. (“Qubit”). Registered address: J. Kozačeka 2, 960 01 Zvolen, Slovakia. Company ID: 47717505, registered by the Metropolitan Court Banská Bystrica under registration no. 26847/S.
Qubit organizes conferences, workshops, and commercial presentations held onsite, online, or in hybrid form (“Events”).
IDENTIFYING THE CONTRACTING PARTIES
The Participant enters their purchase by filling in the registration form and the Qubit provides the product and issues the invoice accordingly. The Participant may verify/modify their data during registration as well as after a successful registration upon request. Any responsibility for damages arising from inaccurate or fake data shall be borne by the Participant. The Qubit is entitled to delete inaccurate and fake registrations or verify the Participant ’s authenticity in case of doubt.
PAYMENTS
Upon completion and return of the online registration form, full payment is required no later than 7 business days from the date of the invoice. Payment of all proforma invoices and tax invoices will be subject to VAT if applicable.
If you submit your registration less than 7 business days prior to the first day of an event, then payment of all fees must be made in full and in cleared funds prior to attending the Event.
Qubit may cancel a registration at any time before the Event if payment is not received. Delegates who arrive at the Event without completed payment must settle the outstanding balance on-site.
PASS TYPES & ELIGIBILITY (UPDATED CLAUSE)
Standard Conference Pass
Standard pass for proffesional delegates.
Public Pass (Government / Academic / Non-Profit)
The Public Pass is available exclusively to delegates employed by:
Government institutions
Academic institutions
Registered non-profit organizations
- Qubit may request proof of eligibility at any time.
- If eligibility cannot be confirmed, the delegate will be required to pay the difference between the Public Pass and standard Conference Pass.
- If the remaining amount is not paid, Qubit may cancel the registration. The original payment will be refunded minus a 5% service fee.
Solution Provider Pass (Commercial / Sales / Business Roles)
The Solution Provider Pass is required for delegates attending the Event with the intention to promote, present, or sell solutions, products, or services
This pass also applies to job roles typically linked to commercial outreach, including but not limited to:
Sales Manager, Key Account Manager, Business Development Manager, Partnership Manager, Account Executive, Sales Representative, Commercial Project Manager, and similar roles.
- If a delegate who fits the Solution Provider category purchases a standard Conference Pass, the registration will not be accepted.
- The delegate will be asked to pay the difference to upgrade to the Solution Provider Pass.
- If the delegate declines to pay the difference, Qubit may cancel the registration and refund the paid amount minus a 5% service fee.
CANCELLATION POLICY
If your plans change, the following cancellation policy applies:
- More than 60 days before the Event: Full refund minus €100 administration fee
- 30–60 days before the Event: 50% refund
- Less than 30 days before the Event: No refund. For cancellations less than 30 days before the Event, Qubit offers two alternatives:
- A voucher valid for 12 months for any Qubit Event
- Name substitution (transfer your pass to a colleague)

If you cancel and re-register, your new registration will reflect the current pricing as of the date of your final registration. Earlier registration pricing will not be honored.
If you don’t attend the Event and have paid your registration fee, it will not be refunded.
Please remember that cancelling your registration does not automatically cancel your hotel and travel arrangements. Individuals are responsible for cancelling their own hotel and travel reservations.
CANCELLATION BY QUBIT
Qubit reserves the right to reschedule or cancel any Event due to low enrollment or if necessitated by other circumstances. Qubit will notify you via email at least 10 business days prior to the course start date. Once notified you may reschedule or receive a full credit. Qubit shall not be liable for non-refundable travel arrangements if the Event is rescheduled/cancelled.
VIS MAIOR CANCELLATION
Qubit cannot be held responsible for changes and cancellations of the Event resulting from circumstances beyond our control such as war, strike, riot, crime, state of emergency, public health regulations or bans, extreme weather situations or issuance of any regulation or directive by any public authority that renders performance of Events impracticable, illegal or impossible (the Vis Maior Circumstances). We cannot be held responsible for any loss or damage as a result of a substitution, alteration, cancellation or postponement of the Event caused by the Vis Maior Circumstance. In such a case we might not be able to refund your registration fee (if paid) and additional fee for substitute Event may apply.
The Participant agrees that in case that due to any Force Majeure event Qubit will organize the Virtual Event instead of the Hybrid Event, Qubit will refund the aliquot difference between the In-preson Conference Pass and the Virtual Conference Pass back to the bank account of the Participant from which the Invoice was initially paid from and thus within (10) ten Working Days from the date on which the Virtual Event was organized.
SUBSTITUTIONS
Substitutions, including those made on-site, are allowed with the written permission of the original registrant. You may submit your request via email to: info@qubitconference.com
VISA
Obtaining a VISA is solely the responsibility of the registrant. Please contact the local government of the host country for details. Once a paid registration is received, a letter of invitation will be provided by Qubit, on request.
AGE LIMIT
Attendees must be at least 18 years of age to attend the Event and all related events. Requests for any exception to this term must be made in writing to Qubit Management.
DRESS CODE
Business casual is appropriate for this and all Events.
BADGES
All individuals on the conference floor must have a badge and the badge holder visible on their person at all times. Both the badge and badge holder are required for entry at Events.
Testimonials – Qubit is thankful for Participants’ feedback at our Events. Qubit may use Participants’ company logo, quotes & testimonials in future marketing literature and website.
SOLICITING
Suitcasing or outboarding is prohibited at Events. We reserve the right to escort any individual from Events if they are reported to be soliciting and are not an Event sponsor.
We encourage attendees to support the paid sponsors who, in turn, are supporting the industry. We also encourage you not to listen to a sales pitch from a non-sponsor.
ADMITTANCE
In our sole discretion, without refund, we reserve the right to refuse admittance to or expel from the Event anyone that we determine is behaving in a manner that could be disruptive to the Event or any other attendee.
We hereby prohibit the making of any audio/video recordings and the disclosure of such recordings on any sharing portal/network.
INTELLECTUAL PROPERTY & COPYRIGHT
All Qubit materials in relation to the Event are exclusively reserved and any unauthorized duplication, publication or distribution is strictly prohibited. Qubit shall not be liable for any loss or damage suffered by the client or by any third party arising from the use or reproduction of any connected materials. It is also agreed that Qubit has no responsibility to ensure that the necessary permissions have been obtained by the client in relation to the use of names, people, trademarks, or any other copyrighted materials. Qubit reserves the right to use the aforementioned materials for marketing and/or commercial purposes; This contract supersedes any previous agreement, between the parties relating to All Qubit Materials.
PROGRAM CHANGES
Please note that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of the Qubit may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, Qubit reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible. Qubit reserves the right to make changes in the Event schedule and speakers, or to cancel programs if enrollment criteria are not met, or when conditions beyond its control prevail. All Event sessions are filled on a first-come, first-seated basis. Arrive early to ensure a seat!
